Short answer. Before the field is set, send a Round Call ("In or out?"). After it's confirmed, send confirmations ("You're in") and, if your league collects buy-ins, payment requests. Scoring links go out on their own when groups are published. Automated reminders can be drafted, but whether they can be switched on depends on your deployment.

How it works

Round Call

  • Goes to the roster minus anyone who already answered, and only before the field is set.
  • Defaults: email on, text off. Subject "In or out for {{round_name}}?", body "{{first_name}}, {{round_name}} is back. Answer in or out and the field goes out as soon as we have a headcount.", plus an optional deadline line. The "I'm in" and "I'm out" buttons lead to a page where the golfer confirms; nothing is recorded just by opening it.
  • Each recipient shows a readiness reason: "Ready", "Field already set", "Email off", "Missing email", "Email unavailable", "Text off", "No recorded SMS consent", "Missing valid consented phone", "Opted out" or "Text unavailable".

Round confirmations

  • Go to confirmed players only, after the field is confirmed. Email and text are both on by default. Subject "You're in — {{round_name}}".
  • The payment line adapts: "Please send {{amount}} to {{venmo_handle}} as soon as possible to secure your spot.", "Payment received — you're all set.", "Your entry fee has been waived — you're all set." or "You're all set."
  • Every confirmation carries a can't-make-it link. A golfer who uses it is marked out, and your field and groups are flagged for review.
  • Confirmations are never sent automatically.

Round payments

  • Turn on round payments and add the receiving Venmo username in League settings. Amount $1 to $10,000; deadline from the day of play to 30 days before, default 2 days before at 12:00. Ringer never moves the money.
  • Subject "Secure your spot in {{round_name}}"; the email button reads "Pay {amount} in Venmo". Payment is checked by hand: mark each golfer paid, pending or waived.

Automated reminders

Three templates: an RSVP nudge (2 days before), playing tomorrow (1 day) and playing today. Defaults: off, email on, text off. Timing runs from the day of play to 14 days before. Tokens: {{first_name}}, {{round_name}}, {{course}}, {{date_time}}, {{action_url}}. Saving a draft always leaves automation off. If league delivery isn't enabled on your deployment you see "League delivery is still under system review. Test and approve the messages first."

Texts

League texts need the consent the golfer gave at registration plus their own notification preferences; a golfer who replied STOP is skipped. "Sent" means the provider accepted the message. Ringer never sends the same message twice.

Who can do this

Round Call: commissioner, co-commissioner, or a club owner or admin. Confirmations, payments and reminders: commissioner or co-commissioner.

If it doesn't work

  • "Open this round's signup link before calling the roster." Turn on round signup first.
  • "Everyone on the roster has already answered this round." Nothing to send.
  • "The field is already set for this round. Use confirmations instead."
  • "Turn on email or text before sending the call." / "Choose delivery channels." / "Use the listed message tokens." Fix the message settings.
  • "Confirm the field before preparing confirmations." / "Configure the round buy-in and Venmo handle first."
  • "The field, payment status, contacts, or settings changed. Review a fresh preview." / "The roster, answers or message changed. Review a fresh preview." Preview again, then send.
